We are currently looking for a organized & experienced

PMO Coordinator

to join our team at the Central Post office in the heart of Rotterdam.

As our new PMO Coordinator, you play a key role in supporting project, program, and portfolio delivery across the organization. You ensure that projects and programs are well‑organized, transparently tracked, and consistently reported throughout their lifecycle. Acting as a central coordination point, you support governance, performance management, and decision‑making at both project and portfolio level. Your work enables Project Managers, Program Managers, and senior stakeholders to focus on delivery while relying on accurate, timely information.

Job requirements

Outlook of your responsibilities:

•Maintain and enforce common standards, templates, and processes; administer SharePoint (including access and security

•Design, implement, and maintain effective document management systems with proper version control and traceability

•Collect, maintain, and distribute timely program information for performance and resource reporting; keep project documentation up to date (e.g. team lists, org charts)

•Maintain risk and issue logs, support analysis and mitigation, and facilitate quality controls such as gate reviews and lessons‑learned sessions

•Support planning, budgeting, and cost control activities and monitor operational and financial benefit realization

•Help maintain the overall roadmap, manage critical dependencies, and support scope control and issue resolution

•Actively engage with project and program teams to support alignment, communication, and escalation when required

•Prepare, organize, and facilitate project and program meetings, including logistics, scheduling, and follow‑up actions

Who are you?

  • Bachelor’s degree or certification in Project/Program Management, with 3+ years of experience in a PMO or P3M environment

  • Solid understanding of project methodologies (Waterfall, Agile, Hybrid) and governance across portfolio, program, and project levels

  • Strong organizational skills with the ability to plan, track, and manage multiple projects or workstreams simultaneously

  • Structured and detail‑oriented, experienced in maintaining project documentation, logs, dashboards, and ensuring data accuracy

  • Clear and professional communicator in English

  • Confident in coordinating stakeholders and following up on actions and deadlines

  • Comfortable working with project data, KPIs, and basic financial tracking, with the ability to consolidate information into clear reports and summaries
